Position Summary

We are seeking a highly organized and proactive Office Manager to assist the CEO and support the SwiftWall team. This role is essential to create and maintain a smooth, efficient, and well-supplied work environment. The Office Manager will proactively provide office leadership and support serving meeting office needs, creating company culture, conducting day-to-day operations and coordinating the SwiftWall team.

Fundamental admin skills are essential, and the SwiftWall team will provide job specific training. The Office Manager will work closely with the CEO and the leadership team to provide seamless communications, organize the workplace, administer the human resource function, support sales, coordinate information technology, manage assigned projects, and taking the initiative to improve team effectiveness.

Duties and Responsibilities

  • Assist the CEO in all aspects of SwiftWall operations.
  • Provide general administrative support to executives and all departments as needed.
  • Provide a communication bridge between the SwiftWall team and the world by managing the phone system, serving customers, and solving problems. 
  • Support the sales team including communications, scheduling, meetings.
  • Assist with travel, support events, memos, data collection, data entry, and reporting.
  • Assist in coordination of hiring, onboarding, orientation, documents, training, and benefits.
  • Assist with accounts payable and accounts receivable.
  • Become an expert in Excel, PowerPoint, Outlook, Word, Teams, Dropbox, OneDrive and adopted office tools.
  • Manage the workplace, including greeting and assisting walk-in visitors/deliveries, coordination of custodial/cleaning needs, buying supplies, ordering and inventory control of office, mail collection and distribution, team calendar management, policy and procedure coordination.
  • Stock snacks, drinks and food areas, coordinate meals and events.
  • Coordinate our IT experts to manage the network, including coordinating program access and security, troubleshooting network reliability, improving IT performance, arranging and providing training, monitor and maintaining computer/internet/network systems.
  • Support key meetings by participating and communicating outcomes with effective minutes and action plans, Organize and coordinate internal company events, team outings, and celebrations.
  • Manage event logistics including scheduling, vendor outreach, setup, and follow-up communications.

Qualifications

  • Proven ability to multitask and manage shifting priorities in a fast-paced environment.
  • Flexibility and a proactive mindset when it comes to supporting a wide range of office tasks.
  • Strong communication and interpersonal skills.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and general tech savviness.
  • Familiarity with online ordering systems (e.g., Amazon) and office management tools is a plus.
  • Previous experience in an administrative, executive assistant, or office manager role preferred.

Requirements

  • High School Degree required.
  • Bachelor or Associate Degree in Administration, Business, Management or related field a plus.
  • Requires 8 hours per day in the office in addition to lunch.
  • Overtime and after-hour support/contact are required in limited cases.
  • Strong team engagement and greeting functions require co-location with the team in Midland, MI.
